Minutes

 

Attendees: Suzanne Young, Sue Johnson, Kim Serafy, Norah Ginty, Diana Spurgus, Melissa Horton, Larry Stout, Ann Dunn, Tammy Burton, Theresa Hoyt, Lori Parrish, Jim DePietro

 

Old Business: No minutes were available from last week’s meeting.  Once they are received, they will be reviewed and posted to the website.  No formal financial report was available, however, over the past week, another $2,700 was received for the LYST Invitational.  Contributors included renewals from Fairfield National Bank and Dr. Heiber, and donations from the Gallimore Family and Siemer Distribution.  $900 of the total donations received has been earmarked for LHS swim team.  Today was the final opportunity for a sponsor to obtain a listing on a T-Shirt due to printing requirements. 

 

New Business:

A.                Coaches Meeting- Kevin and the coaches will be available during practice on Sunday, October 29th at 1:00 for parent questions.  This will be an opportunity for new families to become more familiar with the coaches, as well as ask questions.  All families are welcome to attend, during this open practice time.

B.                LYST Invitational Team Entry Update- Tammy reported that we currently have entries from Parkersburg, Liberty Powell, and Mount Vernon.  She expects that NASTY, Hilltop and SEEYA will submit their entries later this week.

 

Invitational Action Plan:

A.     Banners- Trisha Clifford-Sprouse will be ordering these.

B.     Headsets- Lori Hale is in charge of checking over the headsets and making sure they are ready for the officials.

C.    Invitational T-Shirts- Suzanne has submitted two designs to PSI for them to work up for our review.  The shirts will be Vintage Navy (looks like denim) with a red and white design outlines.  Sue and Suzanne are reducing last year’s order of 200 to 150 this year because there were a great number of extras.  The shirts from 2005 will be sold for $3 each in hopes to reduce our inventory of these.

D.    Sponsor List for LHS- Jim will e-mail Mitch Shell the list and corresponding amounts.

E.     Additional Entries- Tammy will e-mail teams in search of “last minute” entries.

F.     Colorado Connection- Jim and Tammy verified that the new connection is operational prior to tonight’s meeting.

G.    Heat Sheet Advertising- Trisha will be preparing.  No update was available this evening.

H.    Volunteer Badges-Cindy, Diana, and Trisha are working on sign in sheets and volunteer badges.

I.        Credit Summary for Invitational-Jim will post on the bulletin board and website the requirements for volunteer credit.  Those families not earning their credit will not receive their $50 deposit back at the end of the year.

J.      Sign Up Board (Credits)- Larry has prepared the volunteer dry-erase board for the Invitational and posted it.  Volunteers are encouraged to sign up for both days wherever possible, but if a volunteer is only available one day, they are encouraged to consider Sunday.  Sunday has typically been a problem for finding enough volunteers.

K.    Deputy Sheriff- Stacy is contacting the Sheriff’s department to have a Deputy on duty during the Invitational (both days). 

L.     Locker Room- Sue suggested that there are additional volunteers to “patrol” the locker rooms to reduce the possibility of damages and problems.

M.    Concessions- Melissa announced that final preparations are being made for concessions (now known as the “Stingray Café”)  J

N.  Invitational Times- Warm ups will be held at 8:00 Saturday, with a 9:00 start time for the meet.  On Sunday, warm-ups for the 500’s will begin at 7:00, and the 500’s will begin at 7:30.  General warm-ups start at 8:15, and the meet will start at 9:00.  Both days, the meet is expected to conclude by 2:30, as long as things run smoothly.

 

 

Other:

A.     February Dance- Beth Daugherty found a DJ that is available for the dance.  The cost would be $300-400 plus additional costs if equipment for popcorn machine etc. is rented if the Committee approves.  Tammy Burton made motion to approve the expense, and Diana Spurgus seconded the motion.  Motion carried.

B.    Geoff Anderson Benefit- A benefit concert will be held for Dr. Geoff Anderson, who was formerly an active swim parent.  The benefit is being held to defray medical costs for Geoff. 

C.    Fort Rapids- Kim Serafy reported that she researched the cost of taking the team to Fort Rapids for a day.  Tickets were available from $15-$18 plus food expense for a period of 5 hours.  After some discussion, it was determined that we forego the trip and sponsor another party during the year for the team.
